Xero, QuickBooks, FreeAgent and importing
There are two ways to bring information in without retyping it. You can connect a client's accounting software so Fyling can read figures from it. Or you can import your client list from the system you are leaving, using a spreadsheet.
What Fyling does and does not do
Fyling reads from a connected ledger. It never writes to the client's books. The access it is given is stored encrypted and is never shown in the browser.
Fyling does not check that the ledger is right. The figures it pulls are a starting point for you to review. Which of the three you can connect depends on how your Fyling account is set up.
Connecting a client's ledger
- An owner opens Settings, then Accounting software.
- Find the client and choose Xero, QuickBooks or FreeAgent.
- Sign in to the provider and agree to share the ledger with your practice.
- Back in Fyling, the connection shows as Connected.
If a provider says it is not set up on this server yet, that connection is not switched on for your account. The page shows how many clients are connected, how many need reconnecting, and how many have nothing connected.
What it is used for
A connection lets Fyling pull the chart of accounts, the trial balance and the client's contacts. For VAT, it can pull the figures for the nine boxes where the provider offers them. Not every ledger can supply UK VAT figures; where one cannot, Fyling says "not available from" that provider and does not guess.
Each ledger account is matched to a line in the statutory accounts. Open Account mapping on a connection to check or change the suggestions. Your choices are saved for your practice and reused for every client on the same software.
When a connection stops working
A connection that has expired or failed shows Needs reconnecting in amber. Connect it again from the same page. Disconnect removes the stored access. Figures already pulled stay, and you can reconnect any time.
Moving over from another system
- Export your client list from the old system as a CSV file.
- Open Import. Choose the file, or paste its contents with the header row first.
- Match each column to a Fyling field. Company number is the only required one. Others cover contact name and email, client type, services and the manager and partner.
- Check the preview, then start the import and watch its progress.
Presets exist for IRIS, Capium, TaxCalc, BTC Software and Xero Practice Manager. Each one suggests a match for your old system's column names, and you confirm every match before you continue. A column the preset misses is simply left for you to match by hand.
The Import page also links to Export your records, so you always have your own data in a file.
