Invoicing and payment links

Invoicing is how your practice bills its own clients for the work it does. This page covers setting it up, raising and sending an invoice, the reminders for overdue ones, and the reports that show who owes what.

What Fyling does and does not do

Fyling numbers and lays out your invoices, emails them to the client, and sends the reminders you have set up.

Fyling does not collect money for you and does not decide whether an invoice must carry VAT. You choose the VAT setting. Invoices ask clients to pay by bank transfer, to the details your practice sets.

1. Set up invoicing

On the Invoices page, open the settings. An owner chooses the VAT setting, the invoice numbering and payment terms, the days overdue on which reminders go out, and the bank details shown on invoices. If no bank details are set, invoices show none, and the page says so. A VAT invoice has to carry certain details, so check the rules before you turn VAT on.

2. Raise and send an invoice

  1. Raise an invoice for a client from the Invoices page, adding a line for each piece of work.
  2. Open the invoice and check the breakdown. It is numbered when it is raised.
  3. In Send to client, confirm the email address and choose Send.

The page then shows when it was last sent, and you can send it again. You can also download the invoice as a PDF. Fees you have set for a client's services can be billed each month on their own: the run raises each month's fee once and will not bill the same month twice.

When an invoice is wrong

On a raised invoice, Other actions lets you raise a credit note for part of it, write it off, or void it. A credit note reduces what the client owes. Write-off is for an owner. Paid, written-off and void invoices are never chased. You can also mark an invoice as paid when the money arrives.

3. Overdue reminders

In the settings, list the days overdue on which to remind, for example 7, 14, 30. The first is a gentle reminder, the second a firm one, and any later one a final notice. Each has standard wording that you can replace with your own. Leave the list empty for no reminders. The law lets businesses charge interest on late commercial payments, but Fyling does not add it for you.

Who owes what

A client's statement lists every raised or paid invoice and credit note with a running balance of what they still owe. Drafts are left out. Aged debt shows the money owed across all clients, grouped by how late it is. Export gives you the invoices as a file.
